Privacy Policy

Who we are#

SettleTab is made by Code Matrix LLC ("we", "us"). This policy explains what information SettleTab collects, how we use it, and the choices you have. We wrote it in plain language because a privacy policy should be easy to read.

Using SettleTab without an account#

You can use SettleTab on your device without signing in. In this mode your groups, expenses and payments are stored only on your device: in your browser's IndexedDB storage on the web, and in a local database on iOS and Android. Nothing is sent to our servers, and nothing is backed up. Leaving this mode erases that on-device data.

Receipt scanning, sharing a group and syncing between devices need an account. When you sign in, the groups on your device are moved into your account so you keep them.

Information we collect#

Account information

• Your name, as you enter it
• Your email address
• Your profile photo, if you add one or sign in with Google or Apple
• The sign-in methods linked to your account. Passwords and sign-in are handled by Firebase Authentication. We never see or store your password.
• Your default currency and theme setting

Expense data

• Groups, their names and their members, including people who have not joined yet
• Expenses, receipt items, quantities and prices
• Who paid, who shared each item, and how tax was split
• Payments recorded between members
• The edit history of each expense, so your group can see what changed

SettleTab does not collect or store bank account numbers, card numbers or any other payment credentials. SettleTab never processes payments.

Payment QR codes

If you add a payment QR code to your profile, SettleTab reads the code on your device and stores only the decoded text and the name you give it. The QR image itself is not uploaded. The code is shown to people you split with so they can pay you in their own app.

Receipt and payment photos

When you attach or scan a receipt, the photo is uploaded to secure cloud storage in your group. You can also attach one photo to a recorded payment. Group members can see these photos. Receipt and payment photos are deleted from cloud storage when the group is deleted, including when your account deletion removes a group you were the only member of.

Usage and technical data

• Which features you use, through Firebase Analytics. Events describe actions, such as creating a group or recording a payment, not the contents of your expenses. We do not collect advertising identifiers.
• Device type, operating system and browser
• Crash and error reports from the iOS and Android apps, through Firebase Crashlytics. These are linked to your account ID so we can fix problems you run into.
• Push notification tokens, if you allow notifications

How receipt scanning works#

1. You take or choose a photo of a receipt. It can have up to 5 pages.
2. The photo is uploaded to your group's storage.
3. Our server checks that you are a member of that group, then sends the photo to Google Gemini to read the items, prices, tax and totals.
4. Gemini returns the text. You review and edit it before saving the expense.

We send the photo to Google only to read it. We do not use your receipts for advertising and do not share them with anyone else. Google handles the photo under the Gemini API Additional Terms of Service, which describe how Google may use content sent to the API.

To keep scanning free for everyone, there is a fair-use cap of 60 scans per account in any 24 hours.

Importing from Splitwise#

When you import a Splitwise CSV export, the file is read and parsed on your device. The file itself is never uploaded. Only the expenses you choose to import are saved, in the same way as expenses you add yourself.

How we use your information#

We use your information to:

• Run SettleTab: calculate shares, track balances and suggest the fewest payments
• Read receipt photos with AI
• Send account emails, such as email verification, password reset and a welcome message
• Send push notifications about group activity, if you allow them
• Fix bugs and improve the app
• Prevent abuse and keep the service secure

We do not sell your data. We do not use your data for advertising, and SettleTab does not show ads. The iOS app does not ask for permission to track you across other companies' apps and websites.

Who can see your data#

Members of your groups

Everyone in a group can see:

• All expenses and payments in that group
• Who had which items
• Receipt and payment photos
• Balances between members
• The edit history of each expense

This is by design. SettleTab is a shared record that everyone in the group can check.

People in your groups can also see your name, profile photo and payment QR codes. Our server shows your payment QR codes only to people who share a group with you. Your name and profile photo are also kept in a small public profile that signed-in SettleTab users can look up by account ID, so the app can show who is in a group. Profiles cannot be searched or listed. Your email address and settings are visible only to you.

Our team may access your data only when needed to:

• Investigate abuse or a breach of our terms
• Help you when you contact support and ask us to look
• Maintain and secure the service

Data security#

• All data is encrypted in transit with HTTPS (TLS)
• Firebase encrypts stored data at rest
• Sign-in is handled by Firebase Authentication, so we never store passwords
• Our server checks group membership before it reads any receipt photo

No system is completely secure, but we follow common industry practices to protect your information.

Your choices and rights#

Export your data

From any group's menu, you can export the group as a CSV file, or share its balances or an insights report as a PDF. These files are built on your device.

Delete your account

You can delete your account in the app, from your profile, at any time. Deletion happens right away and cannot be undone. When you delete your account:

• Your profile, sign-in record and profile photo are deleted
• Groups where you are the only member are deleted with all their expenses and payments
• In shared groups, you are removed as a member. Expenses you were part of stay, so your friends' balances remain correct, and your name stays on them as a former member.

Notifications

You can turn push notifications on or off from your profile or in your device settings.

Privacy rights where you live

Depending on where you live, you may have rights to access, correct, delete or move your data. To make a request, email privacy@settletab.app.

Data retention#

• We keep your account data while your account is active.
• When you delete your account, your profile, sign-in record and profile photo are deleted right away, as described above.
• Records in shared groups stay so that the group's balances remain correct.
• For other data, such as photos, analytics, crash reports and server logs, we keep it only as long as we need it to run the service, and then delete it.

Children#

SettleTab is not meant for children under 13. We do not knowingly collect data from children. If you believe a child has given us personal information, contact us and we will delete it.

Where data is stored#

SettleTab runs on Google Firebase, which may store and process data in several countries. By using SettleTab, you agree to this transfer, storage and processing.

Changes to this policy#

We may update this policy from time to time. If we make significant changes, we will tell you by email or in the app. If you keep using SettleTab after a change, the updated policy applies.
